Catalyst Solutions, LLC is currently looking for a qualified Office Manager with a distinguished portfolio of work to join us.

Overview: This position requires a person who is motivated to excel in a corporate office supporting a team of multi-disciplinary professionals. The employee will direct and oversee administrative and logistical tasks for the office and program operations.

Job Tasks:
· Monitor the office to ensure it remains safe, secure, and well maintained
· Analyze internal processes, recommend and implement procedural or policy changes to improve operations (i.e. Supply changes or the disposal of records)
· Manage office services by ensuring office operations and procedures are organized
· Develop and implement office policies, standards, and procedures
· Oversee clerical and administrative support staff and any administrative tasks carried out by other personnel
· Develop and maintain system for handling records and files
· Prepare and follow budget for office operations and materials

Technical Tasks:
· Prepare and review reports and schedules to ensure operational efficiency
· Organize and schedule meetings and appointments, and set up office space accordingly
· Plan in-house or off-site activities including parties, conferences, meetings, or other gatherings
· Participate actively in the planning and execution of office event
· Acquire, distribute, and store office supplies
· Maintain office equipment and schedule maintenance and upgrades as necessary
· Manage leasing and upkeep of facility space
· Act as point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
· Design and implement filing systems to ensure detailed records are kept
· Oversee adherence to office policies and procedures
· Manage internal staff relations
· Assist in on-boarding process for new hires

Work Activities:
· Obtain and allocate resources to maximize efficiency
· Observe, receive, and otherwise obtain information from all relevant sources
· Interact with teammates and visitors
· Develop constructive and cooperative working relationships with others, and maintain them over time
· Develop specific goals and plans to prioritize, organize, and accomplish work
· Identify and make recommendations to solve problems
· Analyze information and evaluate results to identify alternative solutions, evaluate them, and present cohesive recommendations with supporting rationale
· Focus on budget and find ways to lower costs
· Regularly assist other team members and perform other work as assigned

Tools and Technology:
· All Microsoft Office Suite software
· Visual presentation software
· Telecommunications software including Skype, GoToMeeting, and equivalents
· Standard office hardware and equipment including printers, scanners, fax machines, etc.
· Database/archive/filing software

· Proven office management or administrative experience
· Knowledge of office management responsibilities, systems, and procedures
· Ability to communicate clearly via written, oral, and visual presentations
· Attention to detail and problem-solving skills
· Strong organizational and planning skills
· Ability to manage multiple, concurrent assignments
· Ability to learn from constructive criticism in a quality focused environment

Preferred Experience and Other Qualifications: Ability to obtain a DoD security clearance required
